Project roles and what each can do

Everyone in a project is an owner, an admin, or a member. Here's what separates them — and what doesn't.

New collaborators join as members. An owner or admin can change someone's role from the People section on the project's Info tab.

Role What they can do
Owner Everything — rename the project and change its cover and artist name, invite people, change roles, remove anyone, delete the project.
Admin Invite people, change roles, rename the project and change its cover and artist name, remove members (not other admins). Not deleting the project.
Member View and work in the project. No management actions.

One of these is owner-only and worth calling out, because an admin can otherwise do nearly everything an owner can: deleting the project. An admin who needs a project deleted has to ask the owner.

Inviting also depends on your account: owners and admins can only send invites on a paid plan. See Inviting people to a project.

What roles don't govern

A role is about managing the project, not about working in it. The everyday things — adding tracks, commenting, to-dos, checkouts, playlists, sharing — are open to every member, and a couple of them are narrower for reasons that have nothing to do with roles. Checking a track back in, for instance, is limited to whoever checked it out, owner or not; changing a share link is limited to whoever created it.

So when an option isn't where you expect it, the role table above is only one of the possibilities. It's worth checking whether the action belongs to a specific person instead. Each feature's own article states who can do what.

Changing someone's role

In the People section, each person's row carries their role beside their name. Where you're allowed to change it, that role is a dropdown — pick Member or Admin and it saves as soon as you choose, with no separate save step. Owners and admins can both do this, so an admin can promote another member to admin, or demote one.

Three rows never offer the dropdown:

  • Your own. You can't change your own role, even as an owner or admin. Someone else has to do it.
  • The owner's. Their role shows as a fixed Owner label instead.
  • Anyone's, if you're a member. Members see roles but can't change them.

Owner isn't one of the choices in that dropdown, so handing a project over to somebody else isn't something you can do here. A project's owner can't be demoted or removed by anybody, including themselves, which means a project always keeps someone who can administer it.

Tip: an admin who needs to remove a fellow admin has to change them to member first, then remove them. See Removing someone and leaving a project.
